This page, together with the Terms and Conditions sets out the basis on which any data we collect from you, or that you provide to us, will be processed. Use of this website by you constitutes acceptance by you of this privacy policy. If you do not wish to accept this privacy policy, please leave this website immediately.

The type of information we collect and hold about you will depend on whether or not you are a member of the Charities Facilities Management Group, a registered user of our website or simply browsing our resources or contacting us for other purposes.

Visitors to our website

We fully respect the privacy and personal data of visitors to this website. It is not necessary for you to register with us in order to access the website.

When someone visits our website we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. 

Our website may contain links to other websites. If you follow a link to any of these websites, we do not accept any responsibility or liability for these sites and their policies.

If we do decide to collect personally identifiable information via our website, we will be open about this. We may collect information from interactive features such as online surveys, contact and registration forms. We will make it clear when we collect personal information and will explain what we intend to do with it.


If you are a Charities Facilities Management Group member, we collect additional information about you in your membership application. We will also collect information during the course of your membership about your preferences, responses to surveys, attendance at events and other contact you have with us (including use of any of our services). 

We will use your personal information for the purposes for which you provided it to us and any associated purposes described at the point that information was collected. In addition, we may also use your information for the following purposes:

    •    to help us identify you and the membership you hold with us;

    •    to enable you to receive the service you have requested;

    •    if you are a member, to administer your membership record, inform you of activities and fulfil our obligations to you as a member;

    •    to communicate with you generally.

Data relating to members and other affiliates is  stored securely and is only be accessible to authorised persons.

Managing your personal information

You may be entitled, to obtain access to personal data that we hold about you. If you wish to do this, you should:

  • put your request in writing;
  • include proof of your identity and address (eg a copy of your driving licence or passport, and a recent utility or credit card bill);
  • specify the personal data you want access to.

We may reply requesting further information, and payment of an administration fee (currently £10), if required before responding to your request.

E-mail newsletter

We use a third party provider to deliver our email newsletter. We gather statistics around email opening and clicks using industry standard technologies.
